Using the Web to Manage Hundreds of Members

The CAFC leadership team is tasked with the stewardship of over 600 individuals and cultural institutions. Members join and renew each month, and every one of them needs to create and update their profile, showcase events, and post images. There's a lot to manage. So, we built web tools that helped CAFC stay organized, keep members happy and maintain their sanity.

Build For Customer Service

CAFC’s original site served them well, but had become outdated and unable to handle member processes comprehensively. So, our goal was to build with the members in mind, emphasizing convenience and ease-of-use – things like:

Existing members now receive automatic notifications one month and one week prior to their renewal date. Logging into their account, they can renew in one shot, while the CAFC team is notified, and payment is made automatically via their Stripe payments account.

Not all CAFC members are tech-savvy. We wanted them to showcase their work prominently, but had to balance beauty with convenience and easy-of-use. A drag-and-drop, autosizing tool did the trick.

Remove Redundancies

In a busy organization with limited staff, technology should minimize workload. For CAFC, we created smart forms that dynamically populate member dues based on pre-set categories and allow members to sync their memberships to sponsoring organizations, a task previously handled manually.

Empower The Team

The Web is an incredibly powerful tool for process management. We studied CAFC’s member management processes for areas of improvement – ways that we could make life easier for the CAFC team and help them derive more value from each membership. Here are just a few:

Better data means smarter decisions. We moved the client away from Paypal and into Stripe Payments, which provided a tighter payment integration, better customer reporting and more customization options.
